A busy 5-physician/surgeon practice is looking for an Office Manager to supervise 25+ employees. Salary negotiable. Benefits include vacation, sick pay, health and life insurance.
▸ Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
▸ Maintain office services by organizing office operations and procedures, preparing payroll, designing filing systems, reviewing and approving supply requisitions, assigning and monitoring clinical functions.
▸ Designs and implements office policies by establishing standards and procedures, measuring results against standards, making necessary adjustments.
▸ Completes operational requirements by scheduling and assigning employees, following up on work results.
▸ Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
▸ Oversee records organization, maintenance, access and disposal
▸ Oversee facility by reserving meeting space, scheduling maintenance, coordinating moves, etc.
▸ Oversee personnel files
▸ Maintain confidentiality of business and personnel information
▸ Serves as manager with department supervisors as direct reports
▸ Oversees and supports department supervisors with their responsibilities
▸ Ensures compliance with all state and federal regulatory guidelines
▸ Continually seeks ways to improve organizational efficiency, effectiveness and profitability
▸ Negotiate with participating insurance companies in order to reach contractual agreements
▸ Group benefits, including health, life, dental, disability
▸ Banking, including setting up and maintaining office accounts
▸ Defines procedures for retention, retrieval, transfer and disposal of all records in office, including medical, personnel and administrative.
▸ Meets data analysis and reporting requirements necessary for efficient operations
Periodically - Physician Needs
▸ Keep the physicians informed by reviewing and analyzing special reports, summarizing information, identifying trends.
▸ Participate in goal setting, planning and executive decision making
Periodically - Office Procedures
▸ Maintain office staff by recruiting, selecting, orienting, and training employees.
▸ Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications; establishing personal networks; participating in professional societies
▸ Process new-hire paperwork and benefits enrollment
▸ Participate in professional development and continuing education as appropriate
▸ Confidential filing and record keeping of any litigation issues for physicians
▸ Schedule anniversary luncheons/gifts for employees and physicians
▸ Schedule annual events, including Christmas party and office picnic(s)
▸ Oversee and prepare for various site visits by insurance companies, etc., as they occur
