A Charleston Non-Profit Organization is seeking a dedicated Administrative Assistant to provide essential administrative, donor relations, and financial support. Key Responsibilities

  • Manage all incoming and outgoing mail
  • Provide administrative support including scheduling, correspondence, data entry, and document preparation
  • Maintain donor and fund records while ensuring accuracy and confidentiality
  • Prepare materials for Board meetings, committee meetings, trainings, and donor consultations
  • Assist with filing, scanning, reporting, mailings, and other daily office duties
  • Answer and direct telephone calls professionally and courteously
  • Assist the CFO with expense processing and accounts payable activities
  • Coordinate scheduling and logistics for meetings, presentations, and Foundation events
  • Support processing of fund contributions, deposits, distributions, receipts, and related documentation
  • Assist with financial recordkeeping and reconciliation activities
  • Generate routine fund statements and performance summaries

Qualifications

  • Associate or Bachelor's Degree preferred, or equivalent administrative experience
  • Proficiency in Microsoft Office, particularly Word and Excel
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and deadlines effectively
  • Ability to learn and utilize Foundation software and technical systems
  • Commitment to maintaining confidentiality and professionalism

Preferred Experience

  • Experience working in a nonprofit, church, or mission-driven organization
  • Familiarity with the structure and policies of the United Methodist Church
  • Previous data entry and data processing experience
  • Knowledge of general accounting practices
  • Customer service, guest relations, or donor relations experience
  • Strong proofreading and document review skills
  • Ability to work independently and collaboratively in a fast-paced environment
