New Secretary Mentor (for new secretaries hired between August 2024 and August 2025)

  1. Qualifications
    1. Must have a minimum of 5 years of successful school-based secretarial experience, as evidenced by positive job evaluations, and audit reports.
    2. Must have experience in payroll, WVEIS and WVEIS WOW, (including attendance and enrollment if your school does not have a clerk), current school financial software, school lunch program, budgeting, as evidenced by professional development records
    3. Must be up-to-date on current office practices and KCS focus areas, as evidenced by professional development participated in over the last 5 years
    4. Must show evidence of exemplary office management skills
    5. Must show evidence of exemplary employee/student/parent relationship skills
    6. Must be available during the regular school day for school visits
    7. Must attend training on any new school procedures, as they are announced.
    8. Must have Title I budget experience in order to serve as a mentor in a Title I School.
    9. Must demonstrate a positive attitude.
  1. Job Requirements
    1. Each Mentor will work with each beginning secretary a maximum of 5 hours per month. It is the expectation that this work will be done after school hours. If training does need to occur during regular work hours (i.e phone calls, mandatory trainings, etc.) then the mentor must make up the lost work time after regular hours have ended.
    2. Each mentor must obtain permission from his/her principal to leave the building during work hours.
    3. The mentor will clock in and out at his or her regular time, but will make up time lost during the work day to serve as a mentor after clocking out at the end of the day.
    4. The mentor will keep a log of date and time spent with each new secretary assigned to him or her, and a log of date and time used to make up regular work day hours.
    5. Attend any scheduled mentor meetings.
    6. Complete any scheduled Secretary Mentor training sessions.
    7. Submit all monthly logs to the Staff Development Director by the last day of each month.
    8. Serve as a resource person for the assigned Beginning Secretaries, helping them become orientated to the job, identifying school-based and county-based support, and providing constructive feedback as to effective office practices and management.
    9. Attend all Beginning Secretary Trainings in order to work with your beginning secretaries.
    10. Stipend: $25.00 per hour, not to exceed 5 hours monthly per beginning secretary.
