Maintain and update detailed records of leases, deeds, easements, rights-of-way, and other property agreements.
Input and manage data in the company's land management systems and databases.
File and organize property documentation for accessibility, accuracy, and compliance.
Financial & Contract Administration
Process lease payments, royalties, and surface rentals in coordination with Accounting.
Track key dates such as lease expirations, renewal deadlines, and payment schedules.
Prepare reports and summaries of land obligations for management review.
Administrative Support
Draft correspondence to landowners, agencies, and vendors.
Assist with preparation of exhibits, plats, and maps for permits and agreements.
Support Director and Engineer with research, document assembly, and special projects.
Compliance & Confidentiality
Ensure that land records meet all internal and regulatory requirements.
Handle sensitive property and contractual information with discretion.
Support audits and compliance reviews by providing accurate records and documentation.
Qualifications
Associate degree in Office Administration, Business, or related field (Bachelor's preferred).
2-5 years of experience in administrative or clerical roles (land or mining industry preferred).
Strong organizational and time management skills.
Proficiency with Microsoft Office Suite; experience with land management databases a plus.
Ability to work with confidential information in a professional manner.
