Description
BridgeValley Community and Technical College is seeking a professional and welcoming Administrative Assistant to serve as the face of the Advanced Technology Center (ATC). This person will greet visitors, support external groups using the space, and assist the Operations Division with day-to-day administrative tasks. The ideal candidate is organized, detail-oriented, and comfortable managing multiple responsibilities in a front-facing role.

Examples of Duties
Reception & Front Desk Support

  • Serve as the first point of contact at the ATC main reception area.
  • Welcome and direct campus visitors, external groups, and community members.
  • Provide on-site coordination for facility rentals and events, ensuring setups and logistics are in place.
  • Monitor front desk activity while maintaining professionalism and responsiveness.
Administrative Support
  • Support the Vice President of Operations and team with scheduling, calendar management, and correspondence.
  • Assist with travel documentation, purchasing card (P-card) reconciliation, meeting notes, and communication drafts.
  • Help coordinate room reservations, vehicle fleet documentation, and training notifications.
  • Maintain records, forms, and internal operations documents.
Operations & Project Coordination
  • Help manage cross-departmental projects by organizing schedules, tasks, and resources.
  • Coordinate with IT, Facilities, HR, and Campus Police to ensure events and operations run smoothly.
  • Oversee facility ticketing requests and track completion timelines.
  • Participate in weekly check-ins to align priorities and track progress.
Event and Facility Use Coordination
  • Communicate with renters about facility access, event setup, and support needs.
  • Process Facility Use Agreements, invoices, and insurance certificates.
  • Maintain event bookings and space reservations in college systems (e.g., Banner, TEAMS).
  • Recommend scheduling strategies to ensure efficient and appropriate facility usage.
Budget & Procurement Support
  • Order office and event supplies; track and manage purchases.
  • Reconcile purchasing card transactions and maintain supporting documentation.
  • Monitor departmental budgets and flag issues or discrepancies.
Policy and Grants Assistance
  • Assist in updating campus policies, procedures, and documentation.
  • Support grant preparation by collecting documents and tracking deadlines.
Qualifications
  • Associate degree
  • Excellent customer service and communication abilities.
  • Strong attention to detail and ability to multitask effectively.
  • Proficiency in Microsoft Office (Outlook, Excel, Word, Project).
  • Ability to work independently in a front-facing role.
  • Professional judgment in handling confidential matters.
Preferred:
  • Bachelor's degree preferred in Business, Administration, or related field.
  • Experience in higher education, public service, or operations environments.
  • Familiarity with systems such as Banner, TEAMS, and Oasis.
  • Knowledge of event/facility coordination and fleet operations is a plus.
